WashLevel, Inc. ("we," "us") provides car wash operations management software under the WashLevel and WashBoard brands at washlevel.com and washboard.washlevel.com. This policy explains what information we collect, how we use it, who processes it on our behalf, and the choices you have.
Account information you provide: name, email address, phone number, business name, and location details.
Operational data you enter: tasks, inspections, time clock entries, payroll report data, inventory and vendor records, sensor readings, wash session data, and uploaded files such as photos and safety data sheets.
WashBoard customer data: phone number or email address provided voluntarily by car wash customers for receipt delivery. We do not require an account or collect personal information beyond what the customer explicitly enters on the kiosk screen.
Payment information: handled by our payment processor (Stripe); we do not store full card numbers.
Technical information: basic device, browser, and usage data needed to operate, secure, and improve the service.
We use your information to provide and improve WashLevel and WashBoard, authenticate your account, deliver the notifications you enable (in-app, email, and SMS if you opt in), send wash receipts when customers request them, process subscription and wash session payments, provide customer support, and meet legal obligations. We do not sell your personal information and we do not use your data for third-party advertising.
We rely on a small number of processors to run our services, each receiving only the data needed for its function:
Google Firebase / Google Cloud for application hosting, authentication, database, and file storage. Stripe for subscription billing and car wash payment processing. Telnyx for SMS text message delivery to users who opt in to Text Alerts and to WashBoard customers who request a text receipt. Resend for transactional and summary email delivery. These providers process data under their own security and privacy commitments and are not permitted to use your data for their own purposes.
Phone numbers collected for SMS notifications are used solely to deliver the messages you request. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. You can opt out at any time by replying STOP to any message or disabling notifications in your account or bay settings. See our SMS Terms & Conditions for full details.
We send transactional emails such as account notifications, invitations, wash receipts, issue alerts, and daily operational summaries through Resend. You can adjust email notification preferences in your account settings.
Your data is stored in Google Firebase (Google Cloud) data centers and encrypted in transit (TLS/HTTPS) and at rest. Access to production data is restricted to authorized personnel, account access is protected by authenticated login, and database access is governed by security rules that limit each user to their own organization's data.
We retain account and operational data while your account is active so the service can function. You may request export or deletion of your account and associated data at any time by contacting support@washlevel.com; we will complete deletion requests within a reasonable period unless retention is required by law (for example, billing records).
Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise any of these rights, contact us at support@washlevel.com.
WashLevel and WashBoard are business tools and are not directed to children under 13. We do not knowingly collect personal information from children.
We may update this policy from time to time. Material changes will be reflected by an updated effective date on this page.
